Below is an example of a capital renewal budget tool. The tab "dirty data" shows what you might encounter before cleaning your data where buildings might have name variants. The tools used here are pivot tables and vLookup. Classic data tools. The normal table tab associates the variants with a standard name which then appears in the column "building normal" on the dirty data tab by using vLookup.

The big challenge once you have your data in order is to put someone in charge who will be diligent about updating future projects once current projects are completed. The cost of completed projects is your best bet in terms of predicting future costs.

The analysis tab shows a pivot table which summarizes and aggregates data. Now you can see what future renewal costs might be and move projects around in anticipation of different cash flow scenarios.
